1. General Provisions

1.1. For the purpose and application of this document, the following terms have the meanings below:

  • "Organizer"– represents SummitSphere SRL, a limited liability company organizing events, headquartered in Bucharest, 23 Chitilei Road, Sector 1, CUI RO48728824.
  • "Participant"– means any natural or legal person who has completed the registration form and fully paid the participation fee for an event organized by SummitSphere SRL.
  • "Event"– represents any form of conference, seminar, workshop, course, training session, or professional meeting organized by SummitSphere SRL, in physical or online format.
  • "Participation Fee"– the amount established by the Organizer for participation in an event, according to the communicated commercial offer.
  • "Force Majeure"– any external, unpredictable, absolutely invincible, and inevitable event that prevents the performance of contractual obligations.

This document, titled General Terms and Conditions of Participation, establishes the legal framework and regulates exclusively, comprehensively, and mandatorily all conditions applicable to the registration, participation, and conduct of events organized by SummitSphere SRL.

1.2. By registering for any of the events organized by SummitSphere SRL, as well as by effectively participating in them, the Participant declares that they accept unconditionally, fully, irrevocably, and without reservation the provisions of this document, which acquires the legal value of a bilateral contract.

1.3. SummitSphere SRL reserves the absolute and discretionary right to unilaterally modify the content of this document, without any obligation of prior notice to the Participants, with the modifications producing legal effects from the moment the new version is published.

1.4 The entire content of the SummitSphere website is the property of SummitSphere and is protected by applicable laws. Unauthorized use of materials may result in legal action.

2. Purpose and Nature of Events

2.1. The events organized by SummitSphere SRL are exclusively educational, informative, and professional in nature and are strictly addressed to persons holding the quality of professionals, particularly in the healthcare field.

2.2. The information provided during the events is offered strictly for informative and educational purposes, without constituting in any form medical consultations, individualized therapeutic recommendations, or clinical indications.

2.3. The Organizer, as well as the lecturers or collaborators involved, expressly and irrevocably decline any liability for any direct or indirect consequences resulting from the use or application of the information presented.

3. Conditions for Registration and Participation

3.1. Participation in the event is conditional on the correct and complete filling of the official registration form provided by the Organizer, as well as the full and confirmed payment of the participation fee related to the event.

3.2. The Organizer reserves the discretionary right to reject the registration or refuse the participation of any person who does not fully comply with the administrative, financial, or behavioral requirements established by this document.

4. Obligations of the Participant

4.1. The Participant is obliged to comply with the rules of conduct imposed by the Organizer, the internal regulations of the venue, as well as the general standards of civilized, professional, and non-discriminatory behavior.

4.2. The Participant bears full responsibility for any acts or omissions that may cause material, moral, reputational, or other damages to the Organizer, other participants, or third parties.

4.3. By participating, the Participant expressly, fully, and irrevocably exonerates the Organizer from any present or future legal liability for any damages, claims, losses, or consequences related to their participation in the event.

5. Limitation and Exclusion of the Organizer's Liability

5.1. The Organizer does not guarantee that participation in the event will lead to achieving concrete results, professional successes, increased income, or other beneficial effects on the Participant's career.

5.2. The Organizer is exonerated from any liability for material or moral damages, financial losses, damage to professional reputation, accidents, or other unforeseen events arising in connection with participation.

5.3. The total, full, and cumulative liability of SummitSphere SRL is in all cases strictly and irrevocably limited to the amount actually paid by the Participant as a participation fee.

6. Cancellation, Modification, and Refund Policy

6.1. The amounts paid by the Participant as a participation fee are considered final, firm, and non-refundable, regardless of the subsequent reasons for non-participation.

6.2. If the Participant announces the impossibility of participating at least five working days before the event date, they have the right to designate a substitute, provided that a written notice is sent and accepted by the Organizer.

6.3. The Organizer has the right to modify, without prior notice and without incurring refund or compensation obligations, the event agenda, the order of presentations, the location, the format, or the list of lecturers/speakers.

7. Force Majeure

7.1. The Organizer is exonerated from any liability for the total or partial non-performance of its obligations in the event of force majeure, as defined by applicable law, including but not limited to: natural disasters, fires, floods, epidemics, pandemics, strikes, armed conflicts, terrorist acts, interruptions of telecommunications or transport infrastructure, interventions by public authorities.

7.2. In the event of a force majeure situation, SummitSphere SRL has the right to suspend, reschedule, or cancel the event without owing compensation or refund of fees.

8. Personal Data Processing and Consent for Image Use

8.1. By registering and participating, the Participant expressly, freely, and informedly consents to the collection, storage, processing, and use of their personal data by the Organizer and its collaborators for the purpose of conducting the event and further promoting the activities organized by SummitSphere SRL.

8.2. The Participant authorizes the Organizer to use unlimitedly and unconditionally their image, captured in photographs or video recordings made during the events, for marketing, promotion, archiving, or other commercial purposes.

9. Intellectual Property

9.1. All materials, courses, presentations, documents, and resources provided during the events organized by SummitSphere SRL are protected by intellectual property rights and are the exclusive property of the Organizer or authorized titleholders.

9.2. Reproduction, distribution, publication, adaptation, transformation, transmission, public display, or any other form of use of the materials without the express, written, and prior consent of SummitSphere SRL is strictly prohibited and attracts the Participant's material and legal liability.

9.3. For each case of infringement of intellectual property rights, the Participant owes the Organizer damages in an amount proportional to the prejudice caused.

10. Confidentiality

10.1. During the events organized by SummitSphere SRL, Participants may have access to technical, commercial, scientific, or other information, including but not limited to data, working methods, concepts, business plans, research, case studies, or other protected information ("Confidential Information").

10.2. The Participant undertakes to maintain the confidentiality of all Confidential Information to which they have access, not to disclose or communicate it to third parties without the prior written consent of the Organizer.

10.3. The Participant will use the Confidential Information exclusively for personal and professional use.

10.4. The confidentiality obligations set forth in this clause shall remain valid for a period of five (5) years from the date of participation in the event.

10.5. In case of breach of confidentiality obligations, the Participant will be fully liable for direct and indirect damages caused to the Organizer.

11. Exclusion from the Event

11.1. The Organizer reserves the discretionary, unconditional, and immediate right to exclude from the event any Participant who violates the provisions of this document, internal regulations, or who damages the image, order, safety, or proper conduct of the event, without the obligation to refund participation fees or provide other compensation.

12. Governing Law and Jurisdiction

12.1. This document is governed exclusively by Romanian law, without applying conflict of laws rules.

12.2. Any dispute arising out of or in connection with the interpretation, execution, or termination of this document shall be settled amicably, and in the absence of an amicable solution within 30 calendar days, jurisdiction belongs exclusively to the common law courts in the Municipality of Bucharest.

13. Acceptance of Terms and Conditions

13.1. By completing and signing the registration form, by paying the participation fee, or by effective participation in the event, the Participant declares that they have carefully read, fully understood, expressly and irrevocably accepted all provisions of this document, committing to respect them fully and without reservation.
